Policies

1. Inquiries, quotes, and confirmation

• Submitting a website form starts a conversation. It does not reserve a date, confirm an order, or guarantee availability.
• Unless a quote states otherwise, quoted pricing and availability are valid for 14 calendar days.
• A photography date is confirmed only after RL Creations accepts the project and receives the required 25% reservation deposit, together with any requested agreement or approval.
• Custom apparel, finished artwork, team projects, and other custom work are confirmed according to the deposit, payment, proof, and approval terms shown on the project quote or invoice.
• Taxes, travel, shipping, framing, specialty materials, rush work, and other project-specific costs are included only when stated in writing.

2. Photography payment and reservation deposit

• A 25% reservation deposit is required to hold a standard photography session date. The deposit is applied to the session total.
• The reservation deposit is non-refundable because RL Creations turns away other work for the reserved time, but it may be transferred once under the rescheduling policy below.
• The remaining balance for a standard session is due 48 hours before the scheduled start time. Team, event, travel, or custom-project payment schedules will be stated in the quote or agreement.
• RL Creations may pause scheduling, production, editing, or delivery while an amount is overdue.

3. Rescheduling, cancellation, weather, and illness

• With at least 48 hours' notice, a client may transfer the reservation deposit once to a new date within 6 months of the original session, subject to availability.
• If the client cancels instead of rescheduling, the reservation deposit remains non-refundable. For a standard session, amounts paid above the deposit will be refunded.
• For a change made with less than 48 hours' notice, or for a missed session, the reservation deposit is retained and a new deposit is required to reserve another date.
• Severe weather, illness, emergencies, or safety concerns will be handled reasonably. RL Creations may waive the notice requirement and move the session without penalty when circumstances warrant.
• If RL Creations must cancel and cannot provide the service as agreed, the client may choose a full refund of payments made or transfer all payments to a mutually agreed date.

4. Late arrivals

Sessions normally end at the scheduled time so later commitments are not affected. A late arrival may reduce shooting time. If the client is more than 20 minutes late and the planned session can no longer be completed reasonably, RL Creations may require rescheduling; a new reservation deposit may be required depending on the circumstances and schedule.

5. Photography style, editing, and delivery

• Clients hire RL Creations for Rebecca's creative judgment, shooting style, image selection, and editing approach. Final image selection and artistic treatment remain within RL Creations' professional discretion, consistent with the agreed project.
• Unedited files and RAW files are not included unless a written agreement says otherwise.
• A standard portrait gallery is normally delivered within 14 business days after the session. Team, event, and custom-project timelines are stated in the quote or agreement.
• If an unexpected delay affects the promised timeline, RL Creations will contact the client with an updated estimate and available options.

6. Digital galleries, download, and storage

• Unless stated otherwise, an online gallery remains available for 90 calendar days after delivery.
• Clients are responsible for downloading the files before the gallery expires and keeping their own backup copies.
• RL Creations does not guarantee permanent storage of galleries or image files. If archived files are still available, reopening or replacement delivery may be offered for a separately quoted fee.

7. Copyright, personal-use license, and portfolio permission

• RL Creations retains copyright in the photographs unless a written agreement expressly transfers specific rights.
• After full payment, the client receives a non-exclusive personal-use license to download, share, and print the delivered images for personal use. Commercial use, resale, publication, contests, advertising, or use by another business requires written permission.
• Portfolio, website, social-media, promotional, or publication use by RL Creations is based on a separate written model or portfolio authorization. Booking a session does not automatically grant that permission. A parent or legal guardian must authorize use involving a minor.

8. Professional prints and wall art

• Professional photographic prints, framed artwork, canvas, metal, and acrylic or glass options are optional and quoted separately. Digital files remain included according to the selected photography package.
• Before production, the client approves the product, dimensions, crop, finish, price, delivery method, and any preview or proof provided.
• Because finished artwork is made to order, approved orders are final except for verified damage, a production defect, or an RL Creations order error.
• Visible damage, a defect, or an order error must be reported within 7 calendar days of pickup or delivery. Include clear photographs of the item and, for shipped orders, the packaging. Keep the item and packaging until instructions are provided.
• Screens, papers, coatings, canvas texture, metals, acrylic or glass surfaces, ambient light, and production processes can affect color and appearance. Reasonable differences between a screen preview and a physical product are not automatically defects.
• Production and delivery estimates are not guarantees. If a material becomes unavailable or a vendor delay occurs, RL Creations will explain the options before substituting a product.

9. Custom apparel

• Custom apparel is produced from the final approved proof, quantities, sizes, colors, garments, names, numbers, and placement instructions.
• The client is responsible for reviewing spelling, dates, player names or numbers, sizing, logo details, color choices, and placement before approval.
• Production is generally 7–10 business days after final proof approval and required payment, unless the quote states otherwise. Larger, specialty, or rush projects may require additional time.
• Because custom goods cannot usually be resold, approved custom apparel is final sale except for a verified production defect or an RL Creations order error.
• Report a defect or order error within 7 calendar days of pickup or delivery, before the item is worn or washed. Include photographs and keep the item until instructions are provided.
• Follow the care instructions provided with the garment. Normal wear, improper care, misuse, sizing selections, and approved design choices are not production defects.
• Customer-supplied garments may react unpredictably to decoration. Any replacement or reimbursement obligation for a supplied item is limited to the written terms approved before production.
• The client must have permission to use any submitted logo, artwork, photograph, name, or trademark. RL Creations may decline work that appears unauthorized, unsafe, hateful, or unlawful.

10. Pickup, shipping, and delivery

• Pickup details, shipping charges, and delivery timing are confirmed for each order. The client is responsible for providing a complete, accurate delivery address and reviewing shipment details promptly.
• Report visible shipping damage within 7 calendar days and retain the item and packaging while a carrier or vendor claim is reviewed.
• RL Creations is not responsible for delays caused by carriers, laboratories, manufacturers, weather, address errors, or other events outside reasonable control, but will help pursue available remedies when appropriate.

11. Third-Party Marketplace Links

Closet items link to independent third-party marketplaces. Transactions, payments, shipping, returns, buyer protection, and disputes are completed through and governed by the terms of the marketplace selected. The RL Creations website does not process these purchases.
